Privacy and POPIA Notice
1. Purpose and scope
This notice explains how personal information and technical information are processed in connection with lukepcollins.com and the Stay Booked activities accessible through the website. It describes the live website as at 12 September 2026, including the free Stay Booked Diagnosis on /diagnosis/.

3. Information collected directly through the live website
The live website includes the free Stay Booked Diagnosis form at /diagnosis/. Separately, the Contact function opens the visitor's own email application. Information sent by ordinary email is information the sender chooses to include in that message.
4. Email enquiries
Email sent to staybooked@lukepcollins.com is hosted through Afrihost in South Africa. Enquiry messages may contain a sender's name, email address and any information voluntarily included in the message. This information is used to respond to the enquiry, maintain necessary correspondence and records, and deal with related business or legal requirements. Ordinary enquiries that no longer have an operational, contractual, legal or record keeping purpose will be periodically reviewed for deletion. A person may request deletion, correction or access, subject to applicable legal retention requirements.
5. Website analytics
Google Analytics 4 is installed on published pages. Analytics may process page URLs and titles, referrers, session and client identifiers, device and browser information, approximate location derived from IP address, language and screen information. The website does not currently contain custom purchase, form submission or button click events in its code. Google Analytics administration settings are being reviewed separately and this notice will be updated if those settings materially change the processing described here.
6. Cookies and consent
Google Analytics uses nonessential analytics cookies. A cookie consent control is implemented on the website so that analytics processing subject to consent is not activated before the visitor has made the applicable choice. Google Analytics 4 scripts and tags do not load until the visitor accepts analytics cookies. Visitors may accept or reject nonessential analytics cookies through the website's cookie interface, and may change that choice later using the Cookie settings link in the website footer.
7. Server logs and hosting
The website and domain email are hosted by Afrihost in South Africa. Afrihost has confirmed that the website hosting, email and associated hosting data for this account are not stored, replicated or processed outside South Africa. Hosting and account or email logs may include IP addresses, timestamps and access or activity information. Afrihost states that logs are rotated on an ongoing basis in accordance with server log management requirements.
8. Backups
Afrihost has confirmed that the hosting environment provides incremental backups maintained for up to 14 days within Afrihost's South African hosting infrastructure. Restoration can be requested through Afrihost Support. An additional internal backup procedure is maintained or will be maintained for significant website changes and before any hosting cancellation.
9. Purchases and workshop registrations
Book purchases and workshop registrations are handled through Gumroad. When a visitor selects the relevant purchase or registration link, the visitor leaves lukepcollins.com or opens Gumroad in a separate tab and provides information directly to Gumroad. lukepcollins.com does not transmit the visitor's name, email address or payment information to Gumroad before that interaction. Gumroad's own terms and privacy practices apply to information supplied on its service.
10. Zoom and workshops
Zoom is not embedded in the live website. Where a workshop uses Zoom, joining the meeting is a separate interaction with Zoom. Information processed by Zoom is subject to the applicable Zoom service and privacy arrangements.
11. External services and international processing
Although the website hosting and domain email are in South Africa, some external services may process information through infrastructure outside South Africa. These currently include Google services used for analytics where the visitor has accepted analytics cookies, and Gumroad when a visitor purchases a product or registers for a workshop. External service providers operate under their own privacy terms. The use of these services and any applicable cross border processing will be reviewed as the website develops.
12. Fonts
Montserrat and Lato are hosted locally on lukepcollins.com. Loading the website does not require the visitor's browser to request font files from Google's font infrastructure.
13. Security
The live website uses HTTPS and HTTP Strict Transport Security. It also uses security headers including X Content Type Options, X Frame Options, Referrer Policy, Permissions Policy and a Content Security Policy. There is no public website administration area, CMS login or customer login. Administrative access to hosting, email, analytics and Gumroad is controlled through the relevant service accounts. Account access and two factor authentication are being reviewed as part of the current privacy and security work.
14. Sharing and access
Personal information is not sold through the website. Information may be accessible to authorised persons who require access to operate the relevant service, and to service providers involved in hosting, email, analytics, purchasing or workshop delivery. Afrihost has confirmed that there are no third party operators or subprocessors specifically associated with this hosting account. Other independent services, including Google and Gumroad, process information under their own service arrangements.
15. Retention
Information will be retained only for as long as reasonably required for the purpose for which it is processed, or for a period required or permitted by applicable law, contractual requirements, accounting requirements, dispute management or legitimate record keeping. Website hosting backups are retained by Afrihost for up to 14 days. Other service providers may apply their own retention periods.
16. Your rights
Subject to applicable law, a person may ask whether personal information about them is held, request access to it, request correction or deletion where appropriate, object to certain processing, or withdraw consent where processing depends on consent. Appropriate identification may be requested before a request is actioned.
17. Complaints
Privacy concerns should first be sent to staybooked@lukepcollins.com so that they can be investigated. A person also has the right to lodge a complaint with the Information Regulator of South Africa. Current regulator contact details should be obtained from the Information Regulator's official website before submitting a complaint.
18. Children
Stay Booked website content and commercial services are directed primarily at adult tutors, educators, organisations and professional users. The live website does not currently operate a general registration system intended to collect children's personal information.
19. Diagnosis system
The free Diagnosis at /diagnosis/ collects an email address, questionnaire answers, and consent choices (processing required; research and marketing optional). Answers are scored using the Stay Booked diagnostic workbook rules. Responses, scores, consent flags and retake history are stored in the Stay Booked Supabase database. Results are shown on the page after submit. A notification copy of the result is emailed to Stay Booked using Resend. You still see your result on the page if you decline research or marketing consent. Data is used to provide your result and, where consented, for anonymised research and/or marketing contact. 20. Changes to this notice
This notice may be updated when the website, services, service providers, legal requirements or processing activities change. The current version and effective date will be published on lukepcollins.com.
